Meeting Details

Hotel Information:

The 2012 STOP Administrators & Coalition Directors Meeting and the SASP Meeting will be held at Loews Vanderbilt Hotel (2100 West End Avenue Nashville, TN 37203; ph: 615.320.1700). Local fare is available at a variety of restaurants located around the hotel. Just a cab ride away you can find such local attractions as: The Grand Ole Opry, Adventure Science Center, Country Music Hall of Fame, and the Nashville Zoo at Grassmere. Rooms will be booked on your behalf. Your room and tax will be covered for the dates you outlined above, in accordance with outlined guidelines (unless otherwise arranged), and you will be asked to present a credit card to cover your incidental expenses ($50 per day). If you would like to stay additional nights at Loew's Vanderbilt Hotel, please indicate so in the travel dates listed above, and notify LaTanya Lane (tlane@also-chicago.org) once you have booked your flight. Any additional nights will be at your own expense. ALSO cannot guarantee the prevailing government room rate on any extra nights you choose to stay at the hotel, as these rates are subject to hotel availability. However, should this rate be unavailable ALSO will notify you.

STOP Administrators and Coalition Directors Meeting

We recognize that those traveling long distances may have limited flight options requiring travel extensions to fully participate in the meeting. If so, with prior approval, we will provide additional lodging and per diem to accommodate these special circumstances.

Please be advised that only two STOP Administrators per state and one Director from each Coalition per state or 1 Dual Coalition Director can attend the conference.

The full meeting begins for all on Tuesday March 27th, 2012 at 8:00 a.m. There will be a session for participants from the U.S. territories on Sunday, March 25th, 2012, and a session for new grantees on Monday, March 26th, 2012. The session for the U.S. territories is mandatory and limited to only those who are from a U.S. territory. The session for new grantees is for Administrators and Coalition Directors who have been in their position 3 years or less.

If a participant is from a U.S. territory we recommend you book travel to arrive before the session beginning on Sunday, March 25th, 2012 at 1:00 p.m. and depart no earlier than 5:00 p.m. Wednesday, March 28th, 2012. If you need to arrive later or depart earlier, you must clear this with your OVW Program Manager before booking your flight. We will cover lodging expenses from your approved arrival time through check out on Wednesday, March 28th. If flight availability prohibits you from leaving Wednesday night, March 28th, we will cover your lodging expenses that night as well.

If a participant is a new administrator or new coalition director we recommend that you book travel to arrive before the session beginning on Monday, March 26th, 2012 at 8:00 a.m. and depart no earlier than 5:00 p.m. Wednesday, March 28th, 2012. If you need to arrive later or depart earlier, you must clear this with your OVW Program Manager before booking your flight. We will cover lodging expenses from your approved arrival time through check out on Wednesday, March 28th. If flight availability prohibits you from leaving Wednesday night, March 28th, we will cover your lodging expenses that night as well.

For all other participants we recommend you book travel to arrive before the first session begins on Tuesday, March 27th, 2012 at 8:00 a.m. and depart no earlier than 5:00 p.m. on Wednesday, March 28th, 2012. If you need to arrive later or depart earlier, you must clear this with your OVW Program Manager before booking your flight. We will cover lodging expenses from your approved arrival time through check out on Wednesday, March 28th. If flight availability prohibits you from leaving Wednesday night, March 28th, we will cover your lodging expenses that night as well.

SASP Meeting

If you are administering funds for the Sexual Assault Services Program or are a Sexual Assault/Dual Coalition Executive Director, the Resource Sharing Project (RSP) will be hosting a meeting for SASP Administrators and Sexual Assault/Dual Coalitions on Thursday, March 29th, 2012. Please be advised only 1 SASP Administrator and 1 Director per Sexual Assault Coalition can attend this meeting. We recommend that SASP Administrators book travel to depart no earlier than 6:00 p.m. on Thursday, March 29th, 2012. Coalition Directors should book travel to depart no earlier than 2:00 p.m. on Thursday, March 29th, 2012. If flight availability prohibits you leaving Thursday night, your lodging expenses will be covered that night as well, with a check out of Friday, March 30th. If your state or territory’s SASP Administrator is not a STOP Administrator or for questions, contact Cat Fribley: rsp@iowacasa.org.

Ground Transportation:
The Nashville Airport is a 20 minute drive from the hotel. A taxi ride from the airport to the hotel usually runs $25.00 each way. Shuttles usually run $15.00 each way or $25 roundtrip. Shuttle reservations can be made ahead of time, or you can go to the shuttle area in the airport once you have picked up your luggage (look for signs at baggage claim). Reimbursements:
Details concerning reimbursement for food and beverage costs, ground transportation, and baggage fees will be sent with the hotel confirmation information you will receive in mid-March.
